Workday:

The University of Arkansas System moved to a new Human Capital Management (HCM) and Finance system called Workday in Summer 2020, which is a cloud-based solution that is easily accessible at any time across desktop and mobile devices. Workday is replacing BASIS, webBASIS, PeopleAdmin, and Razorbuy.

How do I log into Workday?

  1. To access Workday, use Google Chrome, the recommended browser for Workday. 
  2. Navigate to myapps.microsoft.com (bookmark this page!)
  3. Login with your institution credentials for Office 365. 
    • You may be prompted to authenticate via Multi-Factor Authentication (MFA) or set up MFA if you have not done so previously.
  4. Locate and click the blue Workday icon from the available applications list.
  5. You will automatically be logged into Workday.

Workday training is available anytime, on-demand if you need a refresher on Workday topic. Visit myapps.microsoft.com to access the Workday Training App, which includes virtual Workday training courses and other helpful resources such as Quick Reference Guides (QRGs) and demo videos.

Time Entry and Leave Requests in Workday:

Previously, leave ran a month behind.  With Workday, it now runs during the month it is used, so there will no longer be a monthly entry of leave. 

All appointed employees (faculty, non-classified staff, and classified staff) should input their leave requests prior to using the leave.  If an employee does not use the full amount of leave requested, they will still be able to update it prior to the day payroll runs.   

All leave must be entered and approved by the time payroll runs for the month.  I do not have the specific days payroll runs yet, but it typically runs about five days before the end of the month.

Non-exempt employees (classified staff and non-classified staff who currently report the specific hours they work) will input the hours they work each day in Workday, and they will input requests for leave.  They will not use the time clock feature.  After time worked is input, employees will then need to submit that time.  It is recommended that time be submitted to managers in the system at the end of each week and prior to the payroll run date.

Exempt employees (faculty and non-classified staff who previously only reported leave used) will only need to input requests for leave.  They will not need to track their time worked.  Managers will need to approve the leave requests at least weekly, but at a minimum prior to the payroll run date.

Hourly and work-study staff will use the time clock feature to clock in and out.  In addition to clocking in and out each day, it is recommended that they also submit their time worked to managers in Workday at the end of each week and the last day of the pay period.  The pay periods for hourly and work-study employees end on the 15th of each month and the last day of each month.

For Hourly and Work-Study Employees:

Hourly and work-study staff will use the time clock feature in Workday to clock in and out.  In addition to clocking in and out each day, it is recommended that they also submit their time worked to managers in Workday at the end of each week and the last day of the pay period. The pay periods for hourly and work-study employees end on the 15th of each month and the last day of each month.
