Requesting Duplications from Manuscript Collections

Use your Special Collections Account to order reproductions from manuscript collections:

  1. Use ArchivesSpace at the University of Arkansas Libraries to identify the material you would like to request to have reproduced. Learn more about duplication services and fees.When you have identified material you would like to request for reproduction, click the Aeon Request button in the top right corner.
  2. Even if you do not plan to view the materials in person, you must request the materials you would like reproduced. The Aeon Request button in step 1 will prompt you to log in to your Special Collections account (or register for a new account, if needed). See directions for creating an account on the Getting Started tab.
  3. To place a reproduction order from the "Saved Requests" page, click the "Action" button and select "Request Copy" from the dropdown, fill out the form with the required reproduction specifications. In the order form, note that folder information, page information, and format are all required fields. You can also submit a reproduction request from the "Saved Requests" tab. From "Saved Requests," you click the red "Request Copy" button to the right of item(s) to be requested.
  4. Select the container(s) the requested materials are found in.
  5. Add any special requests or questions in the Order information section.
  6. Switch the order type from Schedule appointment to Request photoduplication.
  7. The reproductions order form will open below. Fill out the required fields in the form.
  8. When you are ready to submit your order information, click the red Submit request button at the bottom of the page. A staff member will review your order information and be in touch with any questions about your order and to provide a payment link if applicable.
  9. If you plan to publish the reproduction, make sure to check the "For publication" box and fill out the Notification of Intent to Publish form.

Requesting Reproductions from Manuscript Materials

Step 1: Identify

Identify the material you would like to request to have reproduced. Learn more about duplication services and fees.

When you have identified material you would like to request for reproduction, click the Aeon Request button in the top right corner.

Step 2: Edit

Click the red Edit button and make any additions or changes needed to the materials request.

Step 3: Save for Later

Unless you're planning to visit the Reading Room to view the materials in person, click the grey Save Request for Later button at the bottom of the screen.

Step 4: Clone Request

Your request for materials will display under Outstanding Requests. To turn the materials request into a reproduction request, click the Actions button and select Clone Request.

Step 5: Switch to Reproduction Request

Now that you have requested the materials you would like, you can create the duplication request. Click the red Switch to Reproduction button.

Step 6: Order Information

Scroll down to Order Information, near the bottom of the page. Enter the order information for your duplication request. Note that folder information, page information, and format are required fields. If you plan to publish the reproduction, make sure to check the "For publication" box and fill out the Notification of Intent to Publish form.

Step 7: Submit Request

When you are ready to submit your order information, click the red Submit Request button. A staff member will review your order information and be in touch with any questions about your order and to provide a payment link.

Accessing Reproduction Orders

  1. When your reproduction order is ready, you will receive an email notification.
  2. Small reproduction orders will be delivered in your Special Collections account. To access your reproductions, log in to your Special Collections account.
  3. In the menu bar, click on Order History, and then select Electronically delivered items.
  4. Your order details will appear. Click the red View Item button to view the materials. Make sure you save a copy to your computer as files will be deleted from your account for 30 days. Most browsers allow users to right click and select Save As to save the file locally.
  5. Special delivery instructions may apply for large files.

Accessing Reproduction Orders

Step 1: Navigate to Your Electronically Delivered Items

Login to your Special Collections Account and select Electronically Delivered Items under Order History.

Step 2: View Your Electronically Delivered Items

Each order you place will appear in your Special Collections account. Click on the red View button to view the file. Make sure you save the file locally as it will expire from your account 30 days after delivery.

Requesting Copies in Aeon

Requesting Reproductions from Print Collections

To request reproductions of published print materials, you'll submit requests through OneSearch, the Library's discovery platform. 

  1. Navigate to OneSearch, enter keywords into the search field and click Search. 
  2. You can limit the results from the search results page to show items located in Special Collections by clicking the Search Everything dropdown menu and selecting Special Collections. Next, click the magnifying glass button to search materials in Special Collections. 
  3. Once you've found an item of interest, click the record link to open the record page. 
  4. If you are a student, faculty, or staff member, sign into OneSearch using your uark login credentials. Community members and Crystal Bridges users will sign in with their personal email accounts. 
  5. Scroll down to the Locations sections and click the location you would like to request copies from (in this case, we want to request reproductions of the Special Collections copy of this item). 
  6. Click the Special Collections Request button to the right of the item to copied twice.
  7. If you haven't logged in to Aeon, you will be prompted to do so before you can complete the copy request. 
  8. Once you've signed in, click the red Switch to Reproduction button at the top right of the request form.
  9. Scroll down to the Order Information section of the form and fill in the format and inclusive page information. 
  10. Click the Submit Request button at the bottom of the form to complete your request. 

A Special Collections staff member will scan your request and deliver the item electronically.

Ordering Reproductions from Print Collections

Step 1: Navigate to OneSearch, enter keywords into the search field and click Search.

Step 4: Sign in

Step 7: Aeon Login

Step 7: If you haven't logged in to Aeon, you will be prompted to do so before you can complete the copy request.
