Preservation information and resources

Overview

User Services and Preservation coordinated on the below workflow for processing damaged items. For photo examples of damage types, see the Damage section under Conservation in this guide.

High Use/New Items

Damaged item with high or recent use or is relatively new to the collection

  1. Will be placed in “bind prep” status by User Services personnel and delivered to the Incoming shelf designated for fast-track decisions in Preservation.
  2. Preservation personnel will decide the best preservation option (which may be replacement) and/or will consult with the Subject Selector about ordering a replacement copy.
  3. If a Subject Selector is consulted, Preservation personnel will fill out the “damaged” tab on the Searching and Replacement Sheet to track consultation and decision.
  4. If a replacement is to be ordered, Preservation personnel will email the order information to books@uark.edu so the information, including the Replacement Decision, can be added to that month’s tab. The original record will then be removed on the regular timeline of events.

Other Items

Damaged item that does not have high or recent use and is not relatively new to the collection...

  1. Will be placed in “bind prep” status by User Services personnel and delivered to the Incoming shelf in Preservation.
  2. As above, Preservation personnel will decide the best preservation option, and will fill out the “damaged” tab on the Searching and Replacement Sheet and consult with the Subject Selector as needed.
  3. If a replacement is to be ordered, Preservation personnel will email the order information to books@uark.edu so the information, including the Replacement Decision, can be added to that month’s tab.  The replacement will then be ordered on the regular timeline with other orders for that month.
