Submitting Requests for Patrons in the Aeon Client

Step 1: Locate materials in ArchivesSpace or OneSearch to request

Locate the materials to request in ArchivesSpace or OneSearch and click the Aeon Request button at the top right. 

Step 2: Log into Aeon

Log into Aeon from the web browser using your UARK credentials. 

Step 3: Awaiting User Review Status

Ensure the request is in the Awaiting User Review queue. 

Step 4: Search for your profile in Aeon Client

In the Aeon Client, search for your name in the Search Users section to open your user profile. 

Step 5: Clone the request to the patron's profile

Navigate to the requests tab in your profile. Highlight the request(s) in the Awaiting User Review queue and clone them to the patron's profile.

Step 6: Locate the physical container

In the ArchivesSpace staff interface, find the record for the requested materials. Scroll down to the Instances section, expand it, and note the location of the container. 

Step 7: Enter the location information into the request

In the request, enter SC in the Dropoff Location and STOR in the Offsite Location fields. 

Step 8: Associate the request with an appointment

In the appointments field, click the ellipses. Double-click on the appointment from the list that should be associated with the appointment. 

Step 9: Save the request

Click the Save icon at the top left of the page.

Step 10: Print the callslip

When the appointment is 5 days out or less, you can call the container over from LINX by printing the callslip button in the top left of the page.

Step 11: Cancel the request in your profile

In your staff user profile, under the requests tab, cancel the request. Select Duplicate Request as the reason.

Confirming Appointments

Confirming Patron Appointments in the Aeon Client

Step 1: Appointments Tab

In the Client, open the Appointments tab to view scheduled appointments. Double click on the patron's appointment to be confirmed. 

Step 2: Prep Confirmation Email

In the Appointment window for the patron, click the New Email dropdown list and select the Appointment Confirmed email template.

Step 3: Edit the Confirmation Email

In the confirmation email template, edit fields enclosed with brackets to reflect appointment information selected by patron. Currently, the only information that should be edited is the morning or evening block information in the first paragraph. If a patron is visiting for more than one day consecutively, you can add the dates and times for other appointments to minimize the number of emails being sent to the patron. 

Step 4: Send the Email

Click the Send Email button in the top left corner of the window. 

Rescheduling Appointments in the Aeon Client

Step 1: Open the Patron's Appointment

From the open Appointment window, edit the appointment details and click the Save and Close button at the top left of the window.

Step 2: Confirm Rescheduling

In the Confirm Rescheduling box, make sure the Send Email and Edit Email boxes are checked. Then, click Yes. 

Step 3: Edit the Template

The Aeon Appointment Rescheduled Notice email template will open. Make sure the information is correct in email body. 

Step 4: Send the Email

Once the email has been edited to your satisfaction, click the Send Email button in the top left of the window. 

Canceling Appointments in the Aeon Client

Step 1: Cancel the Appointment

In the open Appointment window, click the Cancel button at the top of the window. 

Step 2: Prepare to Send Cancellation Notice

In the Confirm Cancellation dialog box, ensure the Send Email and Edit Email fields are checked, then, click Yes. 

Step 3: Edit the Cancellation Email Template

Edit the cancellation email for the appropriate cancellation scenario. 

Step 4: Send the Email

Once the email has been edited, click the Send Email button at the top left of the window. 

Step 5: Reshelve Containers

Once the appointment has been cancelled:

  • Open the patron's profile and navigate to the Requests tab.
  • Click the Inactive Requests button at the top of the page.
  • Highlight the request to be reshelved.
  • Route to the appropriate location for reshelving.
