Awaiting Access - Temporary Checkins

CREATING TEMPORARY CHECKINS WITH TICKLERS

We use two major types of ticklers: E-Awaiting Access ticklers and MULN Inter Under Review ticklers. For these ticklers we have created templates which fill out much of the checkin information for you. See examples of those ticklers in the tabs within this box. If you are wanting to create a tickler from scratch complete the following:

For paid titles, if adding an awaiting access URL, the URL cannot contain HTTPS. It needs to be changed to http. Additionally, review to make sure the link works and that a proxy does not need to be added.

To Create a temporary check in:

  •  Attach New Checkin. Select the checki: Checkin template.Select Template
  • The following options should be set by the template:

  • Fill in the appropriate information in the Notes field. This is usually the task/purpose of the tickler.
  • Fill in the vendor address fields as follows:

  • Create the checkin box with as follows. If your tickler is to check for pending access, it must have the Pending: Awaiting Access. Expected [Date] public note in the checkin box.

  • Add a tickler (indicator k) as follows: Pay careful attention to the date, as an incorrectly formatted date can derail the entire tickler system. (See box below).

UPDATING TICKLERS

  • Once sent to eserials@uark.edu, a tickler will turn into a ticklerlog. This is a record of the previous tickler, and can not be edited.

  • If the record will again need to be monitored, another tickler will need to be added. Insert a Tickler above the Ticklerlog and fill out appropriately:

  • To keep the record uncluttered, only the newest Tickerlog should be left in the record.

Tickler Review

Because one incorrectly created tickler can derail the entire tickler system, it is necessary to occasionally (monthly) review the ticklers in the system.

To review ticklers: 

The review: check the date section of the tickler, ensuring that it is correctly formatted YYYYMMDD: example 20170201.

To collect the ticklers for review: 

  • Run a list in create list to collect the ticklers.
    • Store record type: checkin C
    • checkin[c]>location[40]>equal[=]>internet resource[inter]
    • and checkin[c]>Ticklerlog[u]>not equal top[!=]>blank
  • If there are a few ticklers, it may be worth manually reviewing each one on the list.
  • If there are lot of ticklers, export the list into Excel for a quick review.
    • To export: 
      • Select export records.
      • Add for export the record type, Bibliographic(B) and record number(81), Bibliographic(B) and Title(T), and Check(C) and Tickler(K)
      • For field delimiter Select Control Character 9.
      • Then add a title and select a location for the exported file.

  • With the exported file, in excel, use Text to columns to organize the tickler information. Highlight the Tickler column and for delimiter, select Other: $.

  • Review the resulting spreadsheet, focusing on the date column. Ensure that all dates are formatted correctly.  Example: YYYYMMDD. If a date is incorrect, feel free to correct the tickler in Sierra. If you discover a tickler that is incorrect, but are unable to determine what the date should be, email the tickler creator to inform them of the issue.
